The Vice President, Manufacturing is responsible for the planning, the development and the production of attractive, superior quality cars matching European market requirements. R&D aims to strengthen the Toyota image in Europe. Your responsibilities: Your responsibilities as Executive assistant to R&D3+R&D4 VPS and divisional support for Connected Technologies: Ensure that the VPs are fully supported, facilitating their needs so they can run their Business Unit smoothly.
- Respond to their requests in a timely manner and ensuring time efficiency for them.
- Manage complex calendar and schedule meetings and appointments. Time management is extremely important.
- Complex travel arrangements & expenses management.
- Support with presentations preparation and social media posting.
- Organize internal, external, and off-site meetings (hotel, catering, venue, registration process).
- You act as the first point of contact of the Business unit & handle ad-hoc requests related to the VPs.
- Monitor administrative procedures and offer support.
- Back up for Personal Assistants of other Vice Presidents within the R&D Function.
- Schedule and build agendas for regular meetings with internal and external stakeholders for the Connected Technologies/R&D4 division; as well as support with ad-hoc requests (e.g. teambuilding events, office relocation).
- Maintain important Connected Technologies communication channels, such as distribution lists, shared mailboxes, SharePoint and org charts.
- Provide assistance in the office for incoming requests, feedback and day-to-day activities, such as ordering supplies, assigning lockers, and managing incoming/outgoing mail.
Profil
The candidate will have the followed profile :
- Experienced Assistant, ideally experienced Executive Assistant.
- Excellent knowledge of the English language, written and spoken (TME business language) & ideally can communicate in local language.
- Fast, quick to learn new things and to understand priorities and requests. Must excel as a multitasker.
- Dedicated and committed. You genuinely care about your job and your colleagues.
- Highly able to work & perform under pressure.
- Flexible in handling last minute requests and changes.
- Excellent internal customer attitude & people skills.
- Works well in a team as well as independently. Can be trusted to manage yourself.
- Discrete, able to handle confidential material and information.
- Reliable, loyal, and good sense of humour.
- Proactive, positive, and conciliatory attitude.
- You have excellent contact skills, as interaction with other executive assistants is key to manage the agenda.
- Ability to anticipate.
- You are customer, results, and detail oriented.
- You have a sound knowledge of the Microsoft Package – Outlook, Teams, Word, Excel, and PowerPoint. Extra points if you are a tech savvy.
